How it works
Maintenance lives on documents: equipment manuals, engineering drawings, standard operating procedures, compliance certificates, inspection reports, vendor data sheets. PulsePlant gives them a single home with real version control and direct linkage to the operational records they support.
Any document type uploads — PDF, Word, Excel, images, CAD drawings, presentations, videos, archives. Full-text indexing extracts searchable content from text-based files automatically so you can find a procedure by searching its body, not just its filename. Tags, categories, and metadata organize the library for browsing.
Entity linking is the real superpower. A pump manual attaches to the equipment record, every work order on that pump, every PM template, and the LOTO procedure — from a single upload. Change the document, everywhere it's linked updates. The entity documents widget appears on every detail page so the right files are always one click away.
Version control tracks every revision with notes, major/minor increment, and a complete history. Compare two versions side-by-side to see exactly what changed. Revert to a previous version if something goes wrong. Sharing grants specific users or roles View or Edit access beyond their baseline permissions.
Expiration tracking handles certificates, contracts, and compliance documents with time-bound validity. Configurable reminder lead times send notifications to the owner and linked entity owners before a document lapses. Expired documents get flagged in red everywhere they appear until renewed.
