Standardize terms and compliance across every vendor

Central configuration for the supplier records everyone uses — managed payment terms, required document types, expiration reminders, and notification groups.

How it works

Every supplier record in the system inherits from a shared configuration that keeps terms consistent and compliance documents current. The Payment Terms tab defines the canonical list of term values — Net 30, Net 60, 2/10 Net 30 — that populate the supplier dropdown everywhere. Delete a term and the system warns you which suppliers still reference it before it goes.

The Document Compliance tab controls which supplier document types — insurance certificates, agreements, W-9s — require an expiration date at upload and therefore get tracked for renewal. Three reminder thresholds (default 90, 60, 30 days) trigger emails to everyone holding the configured permission key. That way the right people get nudged before a certificate lapses and a vendor becomes non-compliant.
